Position Summary:

The Fleet Dispatcher & Service Agent for Fleet Services is responsible for working with customers to ensure a courteous and accurate reservation process; responsible for taking and receiving vehicle reservations; dispatching vehicles; consulting with customers on vehicle service needs; inspects daily rentals upon return to assess any potential damages; communicates with the shop supervisor for maintenance and repair needs and ensures long term rentals are checked for vehicle preventative maintenance before scheduled dispatch date.

Initiates and finalizes accident reports and claims made on fleet vehicles working closely with Risk Management and outside vendors for repairs. Coordinates the process of and works with university departments for the reservation and dispatch of permanently assigned vehicles. Additional duties include fuel inventories, ordering and receiving fuel, and completing daily fuel logs. Processes work orders and provides general administrative support including ordering supplies and disposition of lost and found items; prepares management reports; works closely with Voyager Credit Cards for the assignment to PA’s and reconciling monthly bill. Backs up Fleet team as needed and serves as assistant emergency coordinator; requires serving as a backup bus driver and shuttle van driver. Must have, or be able to obtain a valid commercial driver’s license, Class B with passenger and air brake endorsements within 6 months of hire. Once obtained: Employee must possess and maintain a DOT medical certification and successfully complete a drug screening. Incumbents are subject to random, reasonable suspicion and post-accident drug and alcohol screening. Must have and maintain a valid driver’s license and an acceptable and safe driving record.

Required Qualifications:

- Considerable customer service experience
- Previous experience assessing vehicle service/preventive maintenance needs
- Working knowledge of office practices and procedures
- Strong data entry skills
- Account reconciliation experience
- Demonstrated proficiency utilizing spreadsheet and word-processing software
- Excellent interpersonal and communication skills
- Ability to interact with a diverse group of people, meet deadlines, perform work with a high degree of accuracy and work independently
- Strong organizational skills
- Ability to interpret and the willingness to apply policies and procedures
- Must have, or be able to obtain a valid commercial driver’s license, Class B with passenger and air brake endorsements within 6 months of hire.

Preferred Qualifications:

- General knowledge of vehicle maintenance
- Strong vehicle maintenance/mechanical diagnosis experience
- Experience with a diverse customer base in a dynamic, fast paced and demanding environment.
- Experience and skilled in programs such as MS Word, Excel, Access, and PowerPoint.
- Experience using Banner or other relational database.
- Preference will be given for current Class B CDL with passenger and air brake endorsement.
