Position Summary:

The Artist Services Assistant supports the work of managers in the programming unit of the Moss Arts Center by helping with event preparation, logistical support for visiting artists, and facilities monitoring.
The Assistant contributes to providing a welcoming and supportive environment for visiting artists and others engaged in center programs by exercising strong customer service and interpersonal skills and a high level of organization. Evening and weekend availability, punctuality, ability and willingness to work a variable schedule, ability to drive a 15-passenger van, and an acceptable and safe driving record are required.

Key responsibilities include:

Event Preparation
- Independently review event planning documents to make preparations for incoming artists’ needs.
- Arrange artist hospitality in green room and dressing rooms, including placing orders for goods and services, purchasing and picking up items, accepting deliveries, and setting up.
- Arrange artists’ parking and recreational passes, guest wireless log-ins, and similar needs.
- Prepare and deliver advance information packets to visiting artists/managers at artists’ hotels.
- Enter and maintain up-to-date event information in center event profiles.
- Assist Program Manager with general administrative support.

Artist Services Logistics
- Greet artists and coordinate with other staff and volunteers to provide a welcoming, professional, and helpful environment.
- Drive artists to/from hotels, performance venues, residency sites, and other locations.
- Assist artists with guest wireless internet connections, answer questions about the center, campus, Blacksburg, and the New River Valley to help guide artists during their stay.
- Organize and oversee catering for all contractually-provided company meals.
- Coordinate with patron services staff to facilitate artist merchandise sales, complimentary tickets, and related matters.
- Consult departmental managers promptly for efficient and attentive problem resolution.
- Provide post-event duties and tasks as requested/required by artists.
- Maintain confidentiality regarding all artist information and interactions.

Facilities Monitoring
- Coordinate with facility manager and/or production unit to arrange special service needs such as green room and dressing room housekeeping during artists’ residencies.
- Keep green room and dressing rooms in clean working order, stocked with requested artist hospitality and tidied after artist departures.

Required Qualifications:

- Bachelor’s degree in hospitality, theater management, communications, business, or related field, or equivalent training and/or experience.
- Experience working or volunteering in a performing arts setting.
- Experience interacting professionally with a broad spectrum of event personnel such as guest artists, faculty, students, industry personnel, and others.
- Demonstrated proficiency with computer applications such as Word, Excel, and Outlook.
- Workplace, volunteer, or other experience requiring organization, planning, attention to detail, and teamwork.
- Must be able to maintain confidentiality of sensitive information and work with tact on complex and sensitive issues.
- Proven record of reliable and punctual work attendance.
- Willingness and ability to work evening and weekend hours.
- Willingness and ability to work a variable schedule set according to event schedules.
- Willingness and ability to occasionally use personal vehicle for work purposes with mileage reimbursement provided.

Preferred Qualifications:

- Artist services experience, including work with artists, industry personnel, faculty, and students.
- Performing arts theater operations experience.
- Event coordination experience.
