Position Summary:

The Business Services Specialist reports to the Director of Finance and Business Affairs and is responsible for the day-to-day business transactions of the President’s Office, which includes the President and staff, the Executive Director of Government Relations and staff, the Grove (the President’s official residence), and Business and Management Systems.
This position
• Prepares and processes transactions pertaining to purchasing and processing invoices, travel reimbursements, payroll, leave reporting, telecommunications, facilities, fixed assets, records management, and risk management.
• Ensures compliance with university and state policies and procedures.
• Performs monthly reconciliations for state and foundation funds.
• Maintains fiscal, fixed asset, and personnel records in electronic and/or paper form, as required.
• Acts as primary liaison for many departments including Controller, Procurement, Human Resources, Payroll, Leave Reporting, CNS, Fixed Assets, Facilities, Records Management, and Risk Management.
• Develops internal procedures.

Required Qualifications:

• Bookkeeping/Accounting experience in a professional or university office environment.
• Proficiency with computer functions such as word processing, data entry and spreadsheets.
• Experience with software such as Microsoft Office.
• Strong organizational skills with strict attention to detail.
• Ability to work independently and collaboratively with a team.
• Excellent communication and interpersonal skills, and ability to work under pressure and to maintain a pleasant demeanor, exercise good judgment and present a professional image in all situations.
• Ability to work with confidential matters, treating all business of the President’s Office as confidential.
• Ability to handle multiple tasks simultaneously and to be flexible when the situation demands shifting priorities.

Preferred Qualifications:

• Knowledge of university, state, and foundation fiscal practices, policies and systems.
• Capacity to learn new programs.
• Significant experience using the Banner finance and HR systems and reporting tools.
• Experience with travel arrangements and reimbursements.
• Experience using HokieMart.
• Experience submitting requests for payments to the Virginia Tech Foundation, Inc.
• Experience with databases such as SharePoint, PeopleAdmin, TimeClock, E-Verify, Travel Expense Management System, Cash Net, COLA, and HokieServ.
