Position Summary:

The Administrative Manager reports to the Assistant Director for Immigration & Advising, and provides administrative support for all functional units within Cranwell International Center:

- Director’s Office
- Advocacy and Support
- Immigration and Advising
- Intercultural Programs and Events

Specific duties include, but are not limited to, the following:

(1) General Office Administration
(2) Marketing and Communications
(3) Special Projects

- Manage and oversee all day-to-day administrative operations within CIC;
- Serve as primary point of contact (i.e., “Director of First Impressions”) at the front desk for all visitors to CIC;
- Answer telephones and respond to general emails;
- Manage incoming and outgoing mail;
- Maintain inventory of supplies and order supplies;
- Schedule appointments and/or meetings;
- Oversee reservations for use of the Cranwell Community Room;
- Supervise student workers.

- Serve as central clearinghouse for all CIC social media content and delivery;
- Maintain CIC website;
- Assist in the development, implementation, and ongoing maintenance of marketing (including branding) and communications plans and collateral (online and print) for CIC signature initiatives, including but not limited to English Practice Groups; Global Ambassadors; International VOICES (Valuable Opportunities for Intercultural Communication, Education, and Sharing; International Street Fair; New International Undergraduate Student Transition Program; etc.

- Manage special projects, as assigned

Required Qualifications:

- Demonstrated customer service experience in a high-volume professional environment;
- Ability to work independently and handle sensitive material and information;
- Excellent communication, organizational, and interpersonal skills to interact comfortably and respectfully with faculty, staff, and students of a diverse cultural background.

Preferred Qualifications:

- Demonstrated knowledge of, and experience with, professional office practices and procedures;
- Demonstrated knowledge of, and experience with, marketing and communications practices and procedures in a university setting (including ongoing development and management of website content, as well as social media content and delivery);
- Familiarity with international student issues and immigration regulations;
- Experience with Banner;
- Working knowledge of Virginia Tech policies and procedures;
- Fluency in a foreign language.
